Title: A Resolution to Approve Payment to Auto Paint Techniques for Various City of Aurora Fleet Automotive Body Repairs for the Remainder of 2019.

TO:                     Mayor Richard C. Irvin

FROM:                     Derrick Winston, Asst. Superintendent Fleet & Facilities Maintenance

DATE:                     July 30, 2019

SUBJECT:

Ratification of payment and expenses to Auto Paint Techniques for various automotive repairs for the remainder of 2019.

PURPOSE:

To obtain authorization to use Auto Paint Techniques for the remainder of 2019 to perform various maintenance and repairs for the City of Aurora fleet.

BACKGROUND:

When body or structural damage to City of Aurora fleet vehicles occurs and is beyond the scope of internal maintenance capabilities, area automotive body repair facilities are contacted to assess damage and provide repair cost estimates.  Once three (3) or more estimates are obtained, the Equipment Services Superintendent or designee secures a purchase order and retains the qualified body shop that submitted the lowest estimate.

Auto Paint Techniques (APT), located at 43 E Illinois Ave., Aurora, IL  60505, is an area body shop that consistently provides quality repair services and has surpassed the annual $25,000.00 per vendor threshold.

DISCUSSION:

So far in 2019, the City has compensated APT in the amount of $67,191.54 and APT will likely be retained to provide a portion of the auto body repair services that may arise during the remainder of 2019.

Based on this year’s total to date, but not withstanding a $23,470.11 repair that was carried over from 2018, I am requesting authority to utilize APT for additional 2019 body repairs in an amount not to exceed $32,000.00.

The 2019 budget for account 120-4431-418.38-01 began at $579,400.00 to fund various fleet/equipment repairs.  Sufficient funds remain in the account to satisfy payments to Auto Paint Techniques for the remainder of 2019.

Auto Paint Techniques has no outstanding debt with the City.

IMPACT STATEMENT:

N/A.

RECOMMENDATIONS:

That the City Council adopts a resolution authorizing payment to Auto Paint Techniques for the remainder of 2019.
