TO: Mayor Thomas J. Weisner
FROM: James Dahl, MIS Director
DATE: June 1, 2016
SUBJECT:
Request for approval to purchase an extended warranty from Dell, Inc. for Equallogics Storage Area Network (SAN) in the amount of $55,167.98 for the MIS Division.
PURPOSE:
SAN storage is the centralized repository for all City files (documents, e-mail, maps, etc.). This extended warranty will ensure technical support and maintenance for an additional two-year period. The warranty includes all Dell San appliances in the network's production and disaster recovery environments.
BACKGROUND:
Several years ago the MIS Division standardized on Dell servers and storage. Over the years SAN capacity has been added four times, which has resulted in various support expiration dates.
DISCUSSION:
This request will allow MIS to maximize the useful life of currently installed SAN solution. The Dell Equallogics SAN can be warranted for up to seven years. After the seventh year the appliance are considered end-of-life, and no Dell support is available.
Dell's initial warranty on SAN appliances is three years. Beyond the three year period extended warranties can be purchased. This request will extend support for two additional years, taking four of our six appliances to their seven year limit.
It is expected in 2018 and/or 2019 a new SAN solution will be required. This will include an IT Department reanalysis of the City's long-term SAN needs and direction.
A budget transfer has been submitted to ensure funds are available in MIS account 101-1232-419.38-26.
The Finance Department has been contacted, and Dell, Inc. does not have outstanding debt with the City.
This is a sole source, as Dell sells maintenance agreements for its hardware and software.
The Dell quote and a sole source affidavit are attached.
IMPACT STATEMENT:
There will be no impact on the General Public, or other departments and divisions.
