SUBJECT:
Ratify payment to Coffman Truck for the engine replacement in unit 63-169 for $28,019.07 as a sole source
PURPOSE:
To maintain the Water and Sewer Maintenance Division's ("W & S ") fleet
BACKGROUND:
Unit 63-169 is the only semi-tractor that W & S has in their fleet. This unit is used to haul large capacity digs as well as spoil piles and other material needs.
DISCUSSION:
Unit 63-169 is a 2004 Volvo VHD64BT tractor with 64,000 miles. This past September the engine experienced a catastrophic failure that was not foreseen or preventable. This unit has very low mileage for a 2004 model and all other components and systems are in very good condition. To replace this with a similarly equipped new semi-tractor we could expect to spend in excess of $130,000.
Due to the good overall condition and low mileage Equipment Services determined it was most cost-effective to repair rather than replace.
120-4431-418-38 01 has the funds available for this repair.
Coffman is a sole source since they are the only authorized Volvo Truck Dealer in the area.
IMPACT STATEMENT:
No impact to other divisions and/or the public.
RECOMMENDATIONS:
To ratify payment to Coffman Truck for the engine replacement in unit 63-169 for $28,019.07 as a sole source.
