TO: Mayor Richard C. Irvin
FROM: Joseph Hopp, Superintendent Maintenance Services
DATE: December 28, 2017
SUBJECT:
Purchase of 36 new automobiles and trucks from both the Illinois Department of Central Management Services Master Contracts and the Suburban Purchasing Cooperative.
PURPOSE:
To replace automobiles and/or trucks that have met the replacement criteria in their respective class of a vehicle.
BACKGROUND:
The City of Aurora participates in both the Illinois Department of Central Management Services Master Contracts and the Suburban Purchasing Cooperative for the purchase of new vehicles. Both of these purchasing programs solicit bids for new vehicles from automotive dealers thus the City of Aurora can forego the bidding process.
DISCUSSION:
I am requesting the authority to purchase 36 replacement vehicles in the amount not to exceed $1,200,000.00 that has been approved in the 2018 City of Aurora budget. All of these vehicles that are listed on the attached spreadsheet are available through the Illinois Department of Central Management Services Master Contracts and/or the Suburban Purchasing Cooperative programs, which the City of Aurora participates.
The attached spreadsheet is sorted by fund and it cross-references the 2018 Replacement Request ID Number, department/division with the number of units approved, vehicle type, budgeted cost, and it includes the account numbers
IMPACT STATEMENT:
The purchase of 36 new vehicles will reduce the maintenance and repair cost for the respective divisions and improve the reliability of the fleet
RECOMMENDATIONS:
That the City Council adopts a resolution authorizing the purchase of 36 new vehicles in the amount not to exceed $1,200,000.00 from both the Illinois Department of Central Management Services Master Contracts and the Suburban Purchasing Cooperative.
