A Resolution to approve the renewal of the contracts for City website hosting and maintenance as well as website job applicant tracking module from CivicPlus, Manhattan, Kansas, in the amount of $88,340.84 for a period of 3 years
PURPOSE:
In order to provide a viable outlet for information, including City Council agendas and minutes, and maintain national standards for municipal websites, the City of Aurora's website has been maintained by CivicPlus, Inc for the past four years. The application tracking module, CivicHR, was also added from CivicPlus when the need arose in Human Resources to track applications more efficiently.
BACKGROUND:
The City of Aurora issued a Request for Proposals in February 2016. CivicPlus was chosen and awarded the RFP and the contract needs to be renewed to continue services. CivicPlus has launched more than 500 government-related websites. CivicPlus specializes in municipal website design and offering a proven way for government to connect with its constituents across all platforms, including mobile. The CivicHR module easily maintains employee data by managing job descriptions, publishing open positions and accepting online applications to screen candidates for Human Resources.
DISCUSSION:
CivicPlus hosting and maintenance 24/7 service is recommended to assist with keeping the site up with minimal down time. The 2020 Information Technology budgeted account 101-1380-419.45-02 has funding in the amount of $55,000.00 for both CivicHR and the website hosting and maintenance.

Failure to renew will impact the services provided by CivicPlus, Inc., including loss of access to the City website
