A Resolution Ratifying Payment of $24,924.00 to Strathmore for the design, printing and distribution of the combined Aurora Borealis newsletter and City Resident Guide for the City of Aurora.
PURPOSE:
To approve payment of the invoiced amount of $24,924.00, which includes printing and mailing services for the combined newsletter and residents guide.
BACKGROUND:
The City of Aurora's Public Information Division, in collaboration with the Customer Service Division, secured the services of a local printer to produce the citywide newsletter and the residents guide. The price reflects printing and mailing services. Payment will put us beyond the approval threshold of $25,000 for the Aurora Borealis. The Residents Guide has its own one-time funding source.
A Request for Proposals for the Aurora Borealis for 2017-2019 has been issued and bids are due Friday, December 9. Recommendations for the vendor and budget approval will be brought to the Finance Committee.
DISCUSSION:
The Community Relations and Public Information Division has funds to cover the total amount. The funds for the Borealis are allocated in account 101-1340-419-45.14 and the funds for the Residents Guide are located in account 101-1314-419-61-09.
IMPACT STATEMENT:
The City of Aurora Borealis is the citywide newsletter delivered to all residents and businesses several times per year. The City of Aurora Residents Guide is printed every other year to provide an overview of City services. Because of the timing and overall costs, one print run was utilized to produce both documents with the same printer.
RECOMMENDATIONS:
Council approval of this resolution will authorize payment.

WHEREAS, the City of Aurora has a population of more than 25,000 persons and is, therefore, a home rule unit under subsection (a) of Section 6 of Article VII of the Illinois Constitution of 1970; and
WHEREAS, subject to said Section, a home rule unit may exercise any power and perform any function pertaining to its government and affairs for the protection of the public health, safety, morals, and welfare; and
WHEREAS, The City of Aurora's Public Information Division, in collaboration with the Customer Service Division, secured the services of a local printer to produce the citywide newsletter and the residents guide. NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Aurora, Illinois, as follows: Ratify payment of $24,924.00 to the Strathmore Company for the design, printing and distribution of the final edition of the Aurora Borealis newsletter and City of Aurora Residents Guide and does hereby further authorize the Director of Purchasing to issue the necessary orders to implement ratification of the same.
