TO: Mayor Thomas J. Weisner
FROM: Clayton Muhammad, Director of Community Relations
DATE: June 9, 2016
SUBJECT:
A Resolution to extend the contract with VisionFriendly.com, Naperville, Illinois for website services through January 2017 in the total amount of $35,000 for seven (7) months.
PURPOSE:
In order to maintain continuity in website maintenance, the Community Relations and Public Information Division is recommending to extend the contract for website services with VisionFriendly.com through January 2017 at the rate of $85.50 per hour for up to 58 hours per month, in the total amount of $35,000 for seven (7) months.
BACKGROUND:
Beginning October 2015, the City of Aurora retained the services of VisionFriendly to maintain the current website services after the extended absence of the City’s webmaster.
Previously, requests for web updates were sometimes backed up for days because of the demand and the lack of personnel to complete the requests. With the professional services of VisionFriendly, the vast majority of web updates happen within less than 24 hours by a team of professionals at VisionFriendly.
As we begin the website redesign process, having accurate data on the current website will be paramount to making sure that data is transferred to the new website. The established method of updating the website has been approved by department and division heads.
DISCUSSION:
A budget transfer is in process to cover costs in the 2016 City of Aurora budget to provide the additional dollars required to extend the contract in account 101-1340-419.32-20.
IMPACT STATEMENT:
This approval will allow the continuity of website services to be provided through the redesign phase. Without it, requests for updates will be backlogged and the City’s outdated information would be transferred to the new website.
RECOMMENDATIONS:
That the Mayor and City Council authorize the approval of the contract extension for website services provided by VisionFriendly.
