TO:      Mayor Thomas J. Weisner

FROM:      Joseph Hopp, Superintendent Maintenance Services

DATE:      December 30, 2014

SUBJECT:
Purchase of 23 new automobiles and trucks from the Illinois Department of Central Management Services Master Contracts or the Suburban Purchasing Cooperative.

PURPOSE:
To replace automobiles and/or trucks that have met the replacement criteria in their respective class of a vehicle.

BACKGROUND:
The City of Aurora participates in both the Illinois Department of Central Management Services Master Contracts and the Suburban Purchasing Cooperative for the purchase of new vehicles.  Both of these purchasing programs solicit bids for new vehicles from automotive dealers thus we can forego the bidding process.

DISCUSSION:
I am requesting the authority to purchase 23 replacement vehicles in the amount not to exceed $1,241,500.00 that have been approved in the 2015 City of Aurora budget.  All of these vehicles that are listed on the attached spreadsheet are available through the Illinois Department of Central Management Services Master Contracts and/or the Suburban Purchasing Cooperative programs, which the City of Aurora participates.

The attached spreadsheet is sorted by fund and it cross-references the 2015 Replacement Request ID Number, department/division with the number of units approved, vehicle type, budgeted cost, and it includes the account numbers

IMPACT STATEMENT:
The purchase of 23 new vehicles will reduce the maintenance and repair cost for the respective divisions and improve the reliability of the fleet

RECOMMENDATIONS:
That the City Council adopts a resolution authorizing the purchase of 23 new vehicles in the amount of $1,241,500.00 from the Illinois Department of Central Management Services Master Contracts and/or the Suburban Purchasing Cooperative.
