SUBJECT:

A Resolution Ratifying Payment of $30,138.75 to VisionFriendly.com for website upkeep and management of the former website from January through April 2017 and the continuity, management and training for the new website from May through August 2017

 

PURPOSE:

To approve payment of the invoiced amount of $30,138.75 which includes management of the former City of Aurora website and the oversight and training for the new City of Aurora website.

 

BACKGROUND:

 The City of Aurora contracted services with VisionFriendly.com to serve as website administrator through January 2017 when the new site was originally planned to be implemented. The new site actually wasn't implemented until April 2017. The onsite services for VisionFriendly were retained to have a full-time administrator to assist through the transition process of both a new web platform and administration. With the goal of phasing out the administrator by fourth quarter, the contract with VisionFriendly.com expired in August. The monthly contractual amount for VisionFriendly.com was$4,959.00 with some months being slightly more due to the overage of hours during the transition 

 

DISCUSSION:

The Community Relations and Public Information Division will have funds transferred from within the division to account 101-1340-419-32.20 to cover the amount. Budget transfer will be completed by approval date.

 

IMPACT STATEMENT:

The City of Aurora is a primary communications tool for the community. The process of updating a 15 year old website to new, responsive and contemporary platform was necessary and the proper transition and training of the new platform is key to its future success. 

 

RECOMMENDATIONS:

Council approval of this resolution will authorize payment.

WHEREAS, the City of Aurora has a population of more than 25,000 persons and is, therefore, a home rule unit under subsection (a) of Section 6 of Article VII of the Illinois Constitution of 1970; and

 

WHEREAS, subject to said Section, a home rule unit may exercise any power and perform any function pertaining to its government and affairs for the protection of the public health, safety, morals, and welfare; and

 

WHEREAS, The City of Aurora's Public Information Division secured the services of VisionFriendly.com to manage the former website and to administer the transition of the new website until the fourth quarter of 2017.]

 

WHEREAS, The Community Relations and Public Information Division will have funds transferred from within the division to account 101-1340-419-32.20 to cover the amount and budget transfer will be completed by approval date.

 

NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Aurora, Illinois, as follows: Ratify payment of $30,138.75 to VisionFriendly.com for management and oversight of the City's website transition.
